Creating Isolation Tech Day
Izomax
2024
As a rapidly growing company, Izomax’s mission is to ensure safe, efficient, and uninterrupted operations for its clients by facilitating maintenance and modifications without downtime. Their pioneering solution, the AOGV mechanical isolation system has earned them a reputation as a trusted partner for the oil & gas sector, and their sights are set on expanding that presence even further.
Brief
To maximise the offering to attendees they invited IKM Testing UK and Valvetight to join as co-hosts. Each participating company had exhibition space and speaking opportunities. The ambitious goal was to attract 80-100 attendees, leveraging partner networks to promote the event.
We began with a discovery meeting to align on Izomax’s objectives, scope, and budget. From there, a detailed project plan was created, focusing on event logistics and promotion. In the 13 weeks leading up to the event, we worked closely with the internal Izomax project team to deliver all aspects of the event.
This included:
1/ Concept and agenda: We designed the event format with engaging presentations, live demonstrations, and networking opportunities. A moderated panel discussion was added to enhance interaction.
2/ Venue selection: Having research local options, the Chester Hotel in Aberdeen was selected for its ability to host both presentations and exhibitions. We coordinated with the hotel to ensure a seamless setup for the event.
3/ Branding and visuals: The event was named Isolation Tech Day to reflect the expertise of all participating companies (all companies involved are specialized in Isolation System for the Energy Sector). We developed all visual assets, including banners, lanyards, and promotional materials, ensuring consistency across all platforms.
4/ Communication strategy: we created a cross-platform communication plan, using both organic and paid channels, targeting the industry audience via social media, digital platforms, press, newsletters, and direct outreach, ensuring broad visibility and engagement.
5/ Project management: Working closely with the Izomax internal project team, we managed all aspects of the event including:
- Weekly coordination calls with Izomax and partner companies.
- Overseeing event details like catering, technical setup, and presentation flow.
- Set up a registration portal to capture sign up / contact information
- Creating all the communication materials, including LinkedIn posts, press releases, website and newsletter content, ads banner, podcast advert scripts, etc…
- Onsite support: we were on-site to manage registration, coordinate speakers, and oversee logistics. We also booked a local photographer to capture footage of the event for future use.
- Post-event communication: we followed up the event with communication to all attendees and a post-event survey. Ensuring tangible information was gained for future event consideration.
The first ever Isolation Tech Day took place on 13th June at the Chester Hotel, Aberdeen. 86 people registered for the event, with the majority attending on the day itself. Of those who provided post-event feedback, there was a positive response and strong interest in future events. Izomax were happy with the event and believe that all the communication around the event, and the event itself did achieve the objective of raising brand awareness and engaging the local market.
